Here you receive information about ordering of or inquiring about a business trip as well as about Travel Management.

 

General Introduction

Travel Order / Travel Inquiry is divided into five index cards, four for the separate types of travel and one for sending the order / inquiry:

You can navigate between the separate index cards, by clicking onto the tabs of the index cards. When switching between the index cards, information is checked (see Error Messages and Status Bar).Your entries are stored, but order of the trip is not yet executed. Input of data on the separate index cards is identical for order and inquiry. In order to order the trip mandatorily or inquire about it without obligation you start proceedings with the index card Order / Inquire. A trip is ordered or inquired about only if these proceedings have been completed successfully and if you have received a Number of Order / Inquiry. If you wish to order or inquire about several trips, please fill in the respective index cards. It is not necessary to order or inquire about every trip separately. This will only be necessary if the number of lines available do not suffice for the desired number of trips.

 


Error Messages and Status Bar

When switching between the separate index cards of the business trip order (or when clicking again onto the tab of the current index card) completeness and consistency of your entries will be checked automatically.

In case of errors an error message will be displayed on the top of the index card. Furthermore a status icon will appear at the bottom of the index card.

As long as there are errors, you cannot start proceedings of order or inquiry with the index card Order / Inquire.
 

1. Error Messages

Error messages will appear on the top part of the index card. There are two different types of error messages:

  • Reference to an error on one or several index cards.
  • Detailed description of error on the respective index card containing the error(s).

If you quit an index card containing incorrect entries, this will be indicated on all other cards. If several index cards contain errors, all incorrect index cards will be listed.

On the index card containing the error(s), the system will list the errors in detail and will help to fill in the field in question if necessary.

Furthermore in HTML version the lines containing errors are marked by an error symbol (warning triangle).
 

2. Status Bar

Status bar is situated at the end of index cards order. As soon as you have made an entry in one of the index cards and are switching to a different index card (or clicking onto the tab of the same index card) there will appear a respective status icon (airplane, train, hotel, car) in the status bar. There will appear as many icons as there are entries for the respective type.

Icons indicate by their colour whether the entries are correct or there are still errors. A red icon indicates an incorrect entry, a green icon signals a correctly entered business trip.

 


Flight

You can order or inquire up to four flights. The following input is necessary:

  • Date of departure: Input in format "day.month.year". The system does accept all usual input formats (e.g. 01.01.00, 1.1.00, 1.1.2000).

  • Number of Flight: Input according to abbreviations of airlines if known (e.g. LH1715). This is an optional field.

  • from, to: Input with maximum 12 characters per field, please abbreviate names of places if necessary.

  • Time of Departure, Time of Arrival: Earliest time of departure or latest time of arrival. One of the entries is necessary. Please enter desired times in format 00:00. Carlson Wagonlit Travel will look for the respective air connection with a margin of +/- 15 minutes.

  • Classes: Eonomy, business and first. Important notice: Carlson Wagonlit Travel is obliged to make reservations only according to travel policies in force. Please use the field Notes for explanations if necessary.

  • Notes: For your text, explanations or special wishes.

If you have filled in all the fields and do not want to enter other trips, please start order or inquire proceedings via the index card Order / Inquire. Otherwise switch to the other index cards and enter the respective data, before starting the complete order or inquiry.

 


Rail

You can order or inquire about up to four rail travels. The following input is necessary:

  • Date of departure: Input in format "day.month.year". The system does accept all usual input formats (e.g. 01.01.00, 1.1.00, 1.1.2000).

  • Number of Train: This is an optional field.

  • From, To: Input with 12 characters maximum per field, please abbreviate names of places if necessary.

  • Time of Departure, Time of Arrival: Earliest time of departure or latest time of arrival. One of the entries is necessary. Please indicate desired times in format 00:00. Carlson Wagonlit Travel will look for the suitable train connection with a margin of +/- 15 minutes.

  • Classes: First class and second class. Carlson Wagonlit Travel is obliged to make reservations only according to travel policies in force. Please use the field Notes for explanations if necessary.

  • Seat Reservation: If you wish to reserve a seat vation, this field is to be crossed.

  • Reduction Card: If you have a Reduction Card at your disposal, please indicate it here. If you do not have, please cross the respective field.

  • Notes: For your text, explanations or special wishes.

If you have filled in all the fields and do not want to enter other trips, please start order or inquire proceedings via the index card Order / Inquire. Otherwise switch to the other index cards and enter the respective data, before starting the complete order or inquiry.

 


Hotel

Here you can order or inquire about up to two hotels. The following input is necessary:

  • Hotel: Please specify name of hotel or hotel chain. This field is optional.

  • Town: Input with 12 characters maximum per field, please abbreviate names of places if necessary. If names of places could be mistaken (e.g. in different countries), please specify your input under Notes.

  • Single Room / Double Room: Single room or double room. If you need a different type of room, please specify under notes. If you do not cross anywhere a single room will be reserved as a standard.

  • Date of Arrival: Input in format "day.month.year". The system does understand/read such input formats (e.g. 01.01.00, 1.1.00, 1.1.2000).

  • Time of Arrival: Input in format 00:00. Check-in after 6 pm can only be guaranteed if you specify your credit card.

  • Date of Departure: Input in format "day.month.year". The system does accept all usual input formats (e.g. 01.01.00, 1.1.00, 1.1.2000).

  • Guarantee of Hotel Reservation: Please specify how your hotel reservation should be made. If you do not mark with cross any of the said options, please choose "other" and explain conditions, (e.g. no credit card). Please note that check-in after 6 pm is only possible when a credit card is specified. There are limitations for reservation without a credit card at the times of fairs too.

  • Notes: for your text, explanations or special wishes.

Please note: If your company has opted to include hotel data into the system, you can with a button call up a window containing all hotel data available and look for a suitable hotel. Precondition for this function is a JavaScript-capable browser.

Car Rental

You can order or inquire up to two car rentals. The following input is necessary:

  • Agency: Please choose an agency here either from the list or put the agency of your choice into the text field. This is an optional field. If you do not specify an agency, Carlson Wagonlit Travel is going to choose an agency for you.

  • Type of Car: Choose a type of car from the list. If you do not specify anything, Carlson Wagonlit Travel is going to choose a car for you.

  • Pick up Place: Input of 12 characters maximum, please abbreviate names of places if necessary.

  • Pick up Day: Input in format "day.month.year". The system does accept all usual input formats (e.g. 01.01.00, 1.1.00, 1.1.2000).

  • Pick up Time: input in format 00:00.

  • Return Place: input with 12 characters maximum, please abreviate names of places if necessary.

  • Date of Return: Input in format "day.month.year". The system does read all usual input formats (e.g. 01.01.00, 1.1.00, 1.1.2000).

  • Notes: For your text, explanations or special wishes.

If you have filled in all the fields and do not want to enter other trips, please start order or inquire proceedings via the index card Order / Inquire. Otherwise switch to the other index cards and enter the respective data, before starting the complete order or inquiry.

 


Order / Inquiry In order to order or inquire about the entries in the index cards Flight, Rail, Hotel and Car Rental, you use this index card. Status Bar indicates which business trips you have already put onto the other index cards. As long as there are still incorrect or incomplete entries on the other index cards (red icon in the status line and indication of error on the respective index card on top of the card) you can neither send order nor inquiry. First you will have to go to the respective index cards and correct errors or feed in the missing data.

The index card Order / Inquire does consist of several masks for the following options:

  • Info: Here the single options are being presented briefly. You will be led to this page automatically if you choose the index card Order / Inquire.
  • Travellers: If you are not travelling yourself or someone is accompanying you, you can specify this here.
  • Account: For entries which are necessary for cost fixation and account of the business trip.
  • Order: You use this mask if you wish to order your entries mandatorily at your Carlson Wagonlit Travel agency.
  • Inquire: You use this mask if you want to inquire about your entries without obligation at your Carlson Wagonlit Travel travel agency.

The fields Travellers and Account may be filled in, but are not mandatory. The choice between order and inquiry will be made by choosing the respective field Order or Inquire

You can navigate between the separate fields with text navigation under the tab of the index card Order / Inquire. The respective activated field is marked red.

Travellers:

You do not have to make entries here if you wish to order the trip or inquire about it for yourself. Order or inquiry will be made automatically for the person who is logged in.

If you are ordering for a different person and not travelling yourself, please click "No" at traveller=orderer and put last name and first name of the traveller into the respective fields.

If you are ordering for different persons and also travelling yourself, please click "Yes" at traveller=orderer and put last name and first name of the traveller into the respective fields. You can enter up to 10 travellers with last and first name.
 

Account:

Before sending an order / inquiry you can specify handling of (cost) fixation or account of the order. For that you have four lists with various items at your disposal. Please choose an option from the list and enter the respective information into the text field. If the given options do not suffice, please use notes.

All fields are optional. We however draw your attention to the fact that Carlson Wagonlit Travel is obliged to impart this data to your company with every account. For this reason these fields are to be filled in completely and correctly. Please check in the profile with Company Details, if you have already entered directions for cost fixation order, which are valid for your current business trip.
 

Order:

You use this card, if you wish to order the entered business trips. First of all you should choose delivery of travel documents. If the given options do not suffice, please use notes.

If you wish to comment, please do so in the field Notes. Finally you can give your business trip a name. This is recommendable in order to be able to identify this order later on in Travel Management more easiliy.

If you have made all necessary entries, you have the option, either to send the trip immediately with the button Send Now or to look at trip data once again with the button Display Trip.

Please note: Order is not yet completed with this step.
 

Inquiry:

You use this card if you wish to inquire about the entered business trips without any obligation. First of all you choose delivery of travel documents. Choice of type of delivery is optional with inquiries, yo do not have to fill in these fields.

If you wish to comment, please do so in the field Notes. Finally you can give your business trip a name. This is recommendable in order to identify this ordrer later on in Travel Management more easiliy.

If you have made all necessary entries, you have the option, either send the inquiry immediately with the button Send Now or to look at your trip data with the button Display Trip.

Please note: Inquiry is not yet completed with this step.

 


Display of Order / Inquiry

If you have chosen to display trip data before sending, you will receive a list of your complete travel data. If you wish to modify, use the button Modify Order or Modify Inquiry. If all travel data is correct and complete, confirm your Order/Inquiry by clicking the button Send Now.

 


Order Number / Inquiry Number

If your order or inquiry has been sent and stored successfully, you will automatically receive a number of order or number of inquiry. Order / Inquiry is completed now.

Please note down your number of order / number of inquiry, you will need it with all check-backs, cancellations or changes of order.

Furthermore an e-mail address is displayed which you can use in case of changes or cancellations. Via CWT@visor itself changes and cancellations cannot be made.

Orders which have already been sent via CWT@visor must not be reordered through any other sources (such as fax, telephone, mail, e-mail).

 


Changes and Cancellations

Via CWT@visor changes or cancellations cannot be made. Please contact your Carlson Wagonlit Travel travel agency in charge. With your number of order / number of inquiry an e-mail address is also displayed which you can use in case of changes and cancellations.

 


Travel Management

If you go to the option Travel Management on the page Selection, you may have access to all your orders of business trips and inquiries stored in the system. This is useful because it simplifies orders of frequently recurring trips on the one hand, as well as making easier to place order of a trip previousely inquired.

On the page Travel Management you will find a list of the last 15 business trips and the last 15 inquiries about trips. Inquiries are indicated with an A. Name of business trip and number of order / inquiry will be displayed. If you have not assigned any name to your trip, "no name" will appear here. Mark the desired order or inquiry. Alternatively you can enter any number of order / number of inquiry you like into the text field below.

You can now choose either to display a trip chosen or to reload it into the system.

When loading the business trip the system will jump directly to Travel Order / Travel Inquiry (into index card Flight, also if your trip does not contain any flights). Only one business trip can be active at a time, so that when loading a trip you would overwrite all data which is already entered into the respective index cards.

If it you load a former order, the business trip will be loaded without the entries in the date's field because the system is working on the principle that you wish to order or inquire about the same trip but with a different date. If you load a former inquiry, the trip will be loaded completely with all date entries because the system works on the principle that you wish now to order your former inquiry.

Please note by all means: It is possible that an order or inquiry may not be confirmed by Carlson Wagonlit Travel travel agency as you ordered or inquired about it. Through Travel Management however you can have access only to your original order or inquiry so that you should keep an eye on your data, if you load such a trip.

Of course you can modify all entries in a loaded trip. Error Messages / Status Bar will show you entries which you need to complete the business trip. Enter data onto the respective index cards and decide whether you wish to order the business trip or rather just inquire about it.
